You must retain comprehensive records of every stage: copies of all notices served, proof of service for each leaseholder (recorded delivery receipts or email confirmations), a register of all leaseholders served, all observations received and your written responses, all estimates obtained, the rationale for contractor selection, and the notification of award. These records are your defence if a leaseholder challenges the service charge at the First-tier Tribunal. They also form part of your Golden Thread obligations under the Building Safety Act.
