Day-to-day management

The work of running a block, in the order it happens

A resident reports a problem, you assign it, a contractor updates it, a check comes round again. Each part has its own section below.

01

Issues and repairs

Follow each issue from the first report to close, with its history kept as you go.

  • Six issue stages: reported, triaged, assigned, in progress, resolved and closed
  • Target dates set from priority, with overdue reminders to the assignee
  • Assign issues to a team member or a contractor, with comments and watchers
  • Link duplicate or related issues
  • Residents report issues from the portal with photos, and a report made offline waits until they reconnect
  • An append-only history of each issue, every entry chained to the one before by checksum
02

Contractors

Keep your contractors in one place and let them update the work without an account.

  • A contractor directory with specialisations, ratings and suggested contractors when you assign
  • Contractors update status and add notes from a secure emailed link, with no account to create
  • Contractors attach photos and files to the issue from the same link, each stored with a SHA-256 checksum and an upload time
  • Assignees and watchers are emailed with a direct link when an issue is assigned or its status changes
  • Warranty records, with a warning before work on a covered component
03

Scheduled checks

Set a check up once and it comes round again on its own cycle.

  • Recurring checks on a weekly, monthly, quarterly, six-monthly or annual cycle, from a library of standard UK fire safety check types
  • Reminder emails ahead of each due date, grouped so an assignee gets one email
  • Overdue critical checks escalate to the building manager
  • Pause and resume a check, with each change recorded in the audit log
  • A check can require evidence before it is marked complete, and each completion is recorded in a checksum chain
04

Resident updates

Tell residents what is happening, and give them somewhere to see it.

  • Residents who report an issue are emailed as it moves to in progress, resolved or closed, with a debounce and a one-click unsubscribe
  • Send announcements by email to leaseholders, occupiers or both, and preview who will receive them first
  • A resident portal with their own issues, building issues, announcements, emergency contacts and profile
  • Resident and unit records, with resident registration and manager approval
05

Team and handover

Keep your own team organised, and hand a building over cleanly.

  • One list of the issues, checks, fire risk actions, PEEP reviews and occurrences assigned to you, across buildings
  • Invite team members and give each one a role
  • A handover view for an incoming manager: compliance status, contacts, decisions log and a recorded acknowledgement
06

Decisions and votes

Keep a record of what was decided, and who agreed.

  • Record decisions and collect approve, reject or abstain votes from invited voters
